About Proactive

Proactive Search is a tool designed to empower faculty members by automating the retrieval of their scholarly accomplishments for validation, rather than requiring manual entry. Currently the tool leverages records from the Crossref database.

How to use Publication Proactive Search

  1. On the  Home page, there is a Tasks & To-Dos section. This section will be divided into two categories: To-Do and Complete. When a publication matching your records is found, it will appear under the To-Do section. Each Tasks & To-Do will include a timestamp showing when the publication match was found. To start reviewing a matched publication, Click the Review New Publication Found box to view the publication details.
  2. Once on the preview page for the publication, there are options to Continue to Edit, Reject, or Approve.
    1. Selecting the Continue to Edit option will allow you to edit the details of the publication. From there, you can then Save and Add to Profile to save the publication to your account with your edits.
    2. Selecting the Reject option will remove the publication from your to-dos and account. Do this if this is not a publication that belongs to you.
    3. Selecting the option to Approve will create a new publication record with the information shown in the preview. If additional publication matches are available for review, a prompt will appear to move to the next match or return to the main activities home page.
  3. A completed import interaction will show on the secondary tab of the Notifications pane. Publications shown under this section will also indicate how the publication was handled, whether it was added as new, merged, or rejected.

Editing Imported Publications

If any changes are needed to the information retrieved from the publication database, the record may instead be edited before importing. Selecting this option will open the record editor with the information shown in the preview. After completing any revisions, selecting Save & Add To Profile will finish the creation of the new publication.

NOTE: At any time during editing, the import may be canceled by choosing Discard Edits and you will be returned to the main activities home page.

Duplicate Publications

The system may also identify potential duplicates and label these in the Tasks & To-Dos pane as Possible Duplicate Publication Found. Selecting this entry will open the Compare screen, where differences may be reviewed and the correct information confirmed. After selecting all of the correct information, a final Add & Edit Details page will show the end result before completing the update to the existing publication.

NOTE: At any time during this process, the publication may be added as a new record or rejected instead of merged into the matched publication.
