What Administrators can Expect

The new evaluation experience changes some of the work that happens behind the scenes. The biggest change is the move toward a One Project model designed to simplify evaluation setup and reduce the number of projects departments manage each semester.

Unified Project Process

Instead of department administrators setting up new projects every semester in Course Evaluations, all lecture and seminar courses across the university will now be put into a single project created by the Texas State Watermark team.

Special courses like labs, clinicals, internships, and other non-lecture courses will NOT be automatically included in this Unified Project process. Evaluations for those courses will still need to be sent by a departments course evaluation administrator, unless requested otherwise.

Targeted Surveys

Departments can submit Targeted Surveys for additional questions, either to the whole department, a specific recurring course, or a specific course or courses in a given semester.

Administrators can either opt to create their own Targeted Survey or submit their questions with all the pertinent details and the Watermark Team will create them. These targeted surveys are limited to 5 questions.

New Project Administrator Roles

With this new change, we will be adjusting administrator roles in Course Evaluations:

  • Primary Project Administrator: The main Project Administrator and the one who is responsible for creating evaluations for special courses. Additionally they will be in charge of targeted survey maintenance.
  • Secondary Project Administrator: A backup administrator for a department. The secondary project administrator can run reports and view/manage courses. These admins cannot access department surveys or access department projects
  • Report Admin: A report admin can only run reports for your department. They do not have access to department surveys, projects, or the ability to view/manage courses.
    • NOTE: Report admins will have access to reports for the whole department!

Course Evaluation Administrator Teams

Membership in the Course Evaluations Administrator Team in Microsoft Teams will be incredibly important for this change. This is where any information regarding dates, system changes, process changes or request forms will live.

If you are a primary project administrator for your department, please make sure you are part of the Teams. Primary project administrators should be automatically added, but we encourage you to verify that you have access.

All request forms for Course Evaluation Admins can be found on the Course Evaluation Administrator Resource page.
